Description of the system

What does ConBid offers to you?

1. It makes clear the process of selection procedure (SP)

The ConBid system unambiguously defines individual SP steps or processes, each of which has clear incomes and outcomes. The process as a whole is therefore well pursuable in its overall context and unambiguously well evaluable in the end. Information on SP status and all its steps are available all the time and it is possible to monitor them from the overall overview up to the most detailed aspects. The system is fully flexible for adjustment according to the user`s methodics.

2. It standardizes the criteria of selection procedure

Within each SP it is possible to define criteria, their significance and methodics of their evaluation. The criteria can be set individually or globally according to the central methodics as "Pre-defined".

3. It establishes pressure on subsuppliers ensuring comparability of proposals

Each proposal can be divided into a price part and other evaluated parts. The price part supposes an unified division of building works within demanded subdelivery into the form of a submitter measurement list (blind budget). In this way, comparability of proposals from various suppliers as well as automated evaluation are ensured. Other evaluated criteria are as follows: "Guarantee length", "Building period", "Subdelivery portion" a "Operating expenses". These criteria are evaluated automatically too. Quality criteria such as "References", "Technical solution" etc. are evaluated individually though.

4. It reveals the potential of proposal price decrease and facilitates negotiations for price decrease

During the negotiations with a chosen subsupplier the system provides an overview about deviations of this subsupplier`s price from other participants` prices, ie from minimum, average and maximum price. System itself searches for items where it is possible to expect potential of the further price decrease.

5. It automizes and makes more effective the internal purchase processes

It significantly fastens the activities connected with creation and distribution of SP assignment documents, collection of individual participants` proposals and their evaluation. In cooperation with B2B server, the ConBid performs an automatically coded distribution of proposals, proposal reception and it distributes reports about results.

6. It fastens the process of SP

Due to the fact that all the documents are sent in electronic version, there is a significant decrease of labour input. Also, it gets rid off manual work in the area of preparation, distribution and evaluation of the printed materials. Consequently, the overall SP process is very much fastened. However, even a participant`s work is reduced in terms of labour input and time as the blind budget can load into any calculation SW, in which it is possible to carry out evaluation, export and hand in in the required form. All of this shortens period for proposals hand in.

7. It enables to repeat SP and make use of previsously gained information

During the announcement of repeated or similar SP it is possible to make use of previously gained information about companies that took part in the previous SP in the specific area or about usual prices etc.

8. It fastens the process of approval

The ConBid system fastens the process of approval by means of availability of all accumulated information and its clear projection. It is effective mainly in such cases when the plant where the SP is announced and the plant where the winner is approved are very distant. The access to all necessary and current information enables faster approval of the competition winner.

9. It enables a precise definition of access rights to data

It is easy for the ConBid system to ensure availability of information about SP in terms of the whole company. It is possible to make the information about individual SP and their results accessible on such plants, which will be awarded the competence rights. From the point of view of competences and access rights, the ConBid system is very well equipped. It is possible to define for each user the data which he or she is entitled to see according to his or her allocation in the organizational structure of the company and the role which he or she has within the company. Therefore, each user can see only the data he or she is entitled to see with regard to the organizational structure and his or her role.

10. It improves the utilization of in-house capacities by the automatic addressing of internal subsuppliers

The ConBid enables to work with internal as well as with external participants of SP. Synchronous addressing of internal and external subsuppliers enables to maintain the prices of internal subdeliveries within the market value. The internal subsuppliers can then be favoured by making use of evaluation criteria according to internal company methodics.

11. It improves possibilities of making use of data from the previous SP by means of their detailed evidence

The ConBid files and then enables access to all data from SP up to the most detailed aspects to the summary. Up to the level of total evaluation it is possible to make use of information for all "cross" overviews such as an overview concerning the history of individual criteria values from the chosen supplier in time.

12. It makes the SP information more clear and transparent to the company management

For the needs of management, the ConBid system offers many overviews, statistics and sets:

  • statistics of announced SP (according to subdelivery fields, organizational units, development in time and trends,...),
  • statistics of decisive subsuppliers (company, volumes, successful/unsuccessful, in time and trends, …),
  • statistics of reached savings (difference between the original offered price and contractual price) in various sorting (according to suppliers, organizational units,..).

13. It enables to transfer necessary data from the lists and databases in the established systems

It is not necessary to acquire the data again. If you keep your data in an established business or other information system, the ConBid can transfer the information continuously by means of updated data transfer.
